Systemisk Psychology Ltd data are committed to ensuring that all information is monitored and stored in line with the Data Protection Act (2018). Systemisk Psychology Ltd have ICO registration and have consulted ICO guidelines to inform the development of this policy. All Systemisk Psychology Ltd policies are reviewed on a minimum bi-annual basis by Systemisk Psychology Ltd Clinical Directors.

The UK GDPR sets out 7 key principles with regards to processing data. These are:

·       Lawfulness, fairness, transparency.

·       Purpose limitation.

·       Data minimisation.

·       Accuracy.

·       Storage limitation

·       Integrity and Confidentiality (security)

·       Accountability

The Systemisk Psychology Ltd Privacy Policy has endeavored to take these principles into account at all stages of processing data.

Systemisk Psychology Ltd; are Chartered Psychologists with the British Psychological Society (BPS) and Health and Care Professions Council (HCPC). As such, Systemisk Psychology Ltd adhere to BPS and HCPC guidance with regards to record keeping and good practice. The BPS states that a psychologists records should be held securely for as long as they are required for the purpose of psychological work.

Systemisk Psychology Ltd are independent practitioners and adhere to the BPS guidance; retaining records relating to contact with adults for 7 years and until the age of 25 for records relating to contact with children. Systemisk Psychology Ltd retain a destruction log to record decisions in relation to data destruction.

Electronic Data management

Systemisk Psychology Ltd are supported by Dylan IT https://dylanit.co.uk/ who provide a comprehensive IT support package to meet the needs of Systemisk Psychology Ltd. This ensures that:

·       All Systemisk Psychology Ltd data is stored on a secure Microsoft 365 cloud server that is only accessible by Systemisk Psychology Ltd.

·       Systemisk Psychology Ltd data is protected by Avast Business Ultimate 2024.

Hard Copy Data management

Systemisk Psychology Ltd ensure that the minimum hard copy data is retained. All hard copy data is:

·       Secured in a locked cabinet.

·       Shredded when no longer required.

·       Handwritten notes (e.g. those completed during a therapy session) are kept securely at all times when in transit.

·       Anonymised as much as reasonably possible given the type of data collected. For example; using client identifiers rather than names on notes.

BPS guidelines are followed with regards to ‘process notes’ e.g. handwritten notes completed during an assessment/therapy session. Once relevant material has been incorporated into a final written report/session record, these are destroyed.
